Integrated Systems Events LLC (having its registered office at 11242 Waples Mill Road, Suite 200, Fairfax, VA 22030, United States of America) (hereinafter referred to as: “ISE”, “we”, “us” and “our”) is the owner and organizer of the world’s largest audiovisual and systems integration trade fair (“Event”). ISE operates this website under the URL www.isevents.org (“Website”).
The protection of your privacy and the confidentiality of your Personal Data, as defined below, is very important to ISE. Accordingly, ISE is committed to complying with the applicable data protection laws, in particular the EU General Data Privacy Regulation (“GDPR”). This privacy policy (“Privacy Policy”) explains which Personal Data are collected and processed, for what purposes this occurs, how long we retain these Personal Data, what your rights are and how you can reach us.

1. PROCESSING OF PERSONAL DATA: CATEGORIES, PURPOSES AND LEGAL BASES
“Personal Data” means any information with which you can be personally identified. This includes for example your name, your postal or e-mail address. ISE collects Personal Data in various ways, for example when you register for the Event, when you are a representative of an organization reserving exhibit space at the Event (“Exhibitor”) or when you are a representative of an organization partnering with ISE (“Partner”), a representative of one of our suppliers, a press attendee at the Event, or when you sign up for ISE’s newsletter. The situations in which ISE collects various types of Personal Data, for which purposes and on the ground of which legal basis, is described in detail below.
- Attendees
ISE collects Personal Data of attendees of the Event. For more information on the processing of Personal Data of attendees of the Event (“Attendees”), please refer to the [Privacy Policy for Attendees].
- Exhibitors or Partners
If you act on behalf of an Exhibitor or Partner in relation to the Event, including but not limited to attending the Event, ISE collects and processes the following categories of Personal Data:
- contact details: your name, (business) email address, (business) telephone number, position and country of residence;
- communication content: the content of email or other communications insofar as it contains Personal Data; and
- company details: name of company and the address of the company if they can be linked to you as an individual.
ISE processes the above Personal Data for one or more of the following purposes:
- planning, coordinating and operationally managing the Exhibitor’s participation in the Event;
- facilitating access for the Exhibitor’s representatives to the Event premises and services;
- sending service-related communications and important updates regarding the Exhibitor’s booking, logistical arrangements, or other relevant Event information;
- enabling registered Attendees to schedule appointments or meeting slots with the Exhibitor, where such functionality is offered.
- providing customer service and operational support in connection with the Exhibitor’s booking;
- invoicing and payment administration;
- facilitating on-site security, access control, and visitor management;
- collecting feedback and evaluating the Event experience;
- contacting Exhibitor representatives about future editions of the Event, subject to applicable legal requirements; and
- complying with applicable legal or regulatory obligations.
ISE processes the aforementioned Personal Data based on of the following legal basis:
- the processing is necessary for the purposes of the legitimate interests pursued by ISE or a third party (purposes 1 - 9);
- the processing is necessary for compliance with a legal obligation to which ISE is subject (purpose 10). In such cases, ISE only processes Personal Data to the extent required by applicable laws and regulations, and in accordance with its legal duties.
- Press attendees
If you attend the Event as a journalist or other accredited media representative, ISE collects and processes the following categories of Personal Data:
- Contact details: your name, (business) email address, (business) telephone number and country of residence;
- Company details: your position, the name of your media outlet or organisation, and its business address;
- Accreditation details: information provided during press registration, such as media type, publication name, and press ID or other credentials;
- Communication content: the content of correspondence with ISE, insofar as it contains Personal Data.
ISE processes the above Personal Data for one or more of the following purposes:
- facilitating your access to the Event and related press facilities;
- supporting and coordinating media coverage of the Event, including accreditation management and press logistics;
- providing you with relevant press materials or updates relating to the Event;
- following up with you after the Event (e.g. for feedback or to share post-event media content);
- maintaining a record of accredited press attendees for future editions or media outreach, subject to applicable requirements.
- complying with applicable legal or regulatory obligations.
ISE processes this Personal Data on the basis of the following legal grounds:
- the processing is necessary for the purposes of the legitimate interests pursued by ISE (purposes 1–5), including the promotion and documentation of the Event and communication with accredited media;
- the processing is necessary for compliance with legal obligations to which ISE is subject (purpose 6);
- the processing is necessary for the performance of a contract to which the press attendee is a party, or in order to take steps at the request of the press attendee prior to entering into a contract (where applicable to purposes 1 and 2).
If ISE processes Personal Data based on the legal basis ‘legitimate interest’, ISE assesses whether the impact on your interests and rights and freedom overrides ISE’s legitimate interests prior to the processing. - Suppliers
If you provide products or services to ISE, ISE collects and processes the following categories of Personal Data:
- Contact details: your name, (business) email address, (business) telephone number, and country of residence;
- Company details: your position, the name of the company, and its business address;
- Payment data: your (business) bank account number and related invoicing details;
- Communication content: the content of business correspondence with ISE, to the extent it contains Personal Data.
ISE processes the above Personal Data for one or more of the following purposes:
- to enter into and perform agreements for the purchase of products or services;
- to manage and maintain ongoing business relationships with suppliers and service providers;
- to administer invoicing, payments and financial records;
- to comply with legal and regulatory obligations, including tax and accounting requirements.
ISE processes this Personal Data on the basis of one or more of the following legal grounds:
- the processing is necessary for the performance of a contract to which the supplier is a party, or to take steps at the supplier’s request prior to entering into such a contract, insofar as the supplier is a natural person (purposes 1–2);
- where the supplier is a legal entity, the processing of Personal Data of its representatives is based on ISE’s legitimate interest in executing and managing that contractual relationship (purposes 1–3);
- the processing is necessary for compliance with a legal obligation to which ISE is subject (purpose 4).

If you subscribe to our newsletter and/or if you agree to receive updates and communications about ISE, ISE collects and processes the following categories of Personal Data:
- Contact details: your name, (business) email address, (business) telephone number and country of residence; and
- Company details: position, name of company and the address of the company.

ISE processes the aforementioned Personal Data based on of the following legal basis:
- the processing based on your consent.
You may change your newsletter preferences (i) at any time by simply updating your account, or (ii) by opting-out of receiving future emails as described at the bottom of each communication from ISE.
- Website visitors
If you contact ISE and/or visit our website, ISE collects and processes the following categories of Personal Data:
- Contact details that you provide us, such as your name, (business) email address, (business) telephone number and country of residence; and
- Company details: position, name of company and the address of the company;

LEGAL MATTERS; SAFETY
ISE may, without your consent, access and disclose your Personal Data, any communications sent or received by you, and any other information that ISE may have about you or your account as may be permitted or required by law (including, but not limited to, by court order or subpoena), or to prevent or investigate suspected fraud, violations of our Terms of Service, or activity that reasonably appears to ISE to be illegal or may expose us to legal liability. Additionally, ISE may disclose your information in situations that it, in good faith, believes to be emergencies involving potential threats to the physical safety of any person or property if ISE believes that your information in any way relates to that threat.
2. TRANSFER OF PERSONAL DATA TO THIRD PARTIES
We share your Personal Data with the parties set out below:
- GES Event Intelligence LTD (“GES”), as they facilitate the registration process and supply the software to support the registration process;
- Other ISE entities, as they assist with practical aspects of organizing the Event (e.g. assisting you when you want to change your registration);
- Map Your Show LLC, in order to provide a feature within the ISE application;
- LL&J LLC (“ShowStoppers”), in order to organize an official press event at the Event;
- Exhibitor Media LLC, in order to organize an exhibit design competition at the Event;
- Organizations providing media coverage of the Event, to ensure accurate reporting and promotion of the Event;
- Sponsors and partners, in order to organize and manage activities related to their conference during the Event and for marketing purposes;
- AVIXA Inc. and CEDIA Inc., for marketing purposes;
- Competent authorities, in order to comply with a legal obligation.
We have taken extensive technical and organizational measures to protect your Personal Data and only disclose these Personal Data to third parties with similar standards of technical and organizational measures. We have concluded data sharing agreements with all processors on behalf of ISE to ensure Personal Data is shared and protected in accordance with the applicable data protection legislation.
Data transfer outside the EEA: In principle, all Personal Data is hosted on servers located in the European Economic Area (“EEA”). However, the sharing of Personal Data with Map Your Show LLC, ShowStoppers, Exhibitor Media LLC, AVIXA Inc. and CEDIA Inc. involves transferring your data outside the EEA, specifically to the United States of America. The sharing of Personal Data with Exhibitors and/or sponsors/partners also might involve transferring your data outside the EEA if the Exhibitor and/or sponsor and/or partner is established outside the EEA.
Transfer to the United States of America: There are a number of theoretical risks for your Personal Data associated with the transfer of data to recipients in the United States of America (possible access to your Personal Data by U.S. authorities under the PRISM and UPSTREAM surveillance programs based on Section 702 of FISA (Foreign Intelligence Surveillance Act), as well as under Executive Order 12333 or Presidential Police Directive 28; Ineffective legal protections for citizens of Member States of the European Union against such access in the United States of America or in the European Union). ISE has signed Standard Contractual Clauses to minimize these risks which provide for specific technical protective measures.

3. DATA DELETION AND STORAGE PERIOD
Your Personal Data will be deleted or blocked as soon as the purpose of storage ceases to apply. The data may be stored for longer if this is permitted by applicable legislation or standards. Data will also be blocked or deleted if a storage period prescribed by applicable legislation or standards expires, unless there is a need for further storage of the data for the conclusion or performance of a contract.
4. COOKIES

In addition, ISE also collects user statistics (e.g., 45% of the Website users are interested in Exhibitor X) in order to describe the Services to prospective partners, advertisers, and other third parties, and for other lawful purposes. USER-BASED ADVERTISING SERVICES

- Access to personal data is restricted to those employees, agents, contractors, and third parties who need it for business purposes, under strict instructions and confidentiality obligations;
- Data encryption during transmission and storage;
- Encryption key management procedures to ensure only authorized personnel can access encrypted data;
- Strict access controls and multi-factor authentication for staff and systems handling personal data;
- Regular security audits and vulnerability assessments of IT systems and infrastructure;
- Binding data processing agreements with all third parties processing your personal data, imposing equivalent security and confidentiality standards;

8. YOUR RIGHTS
You have a number of rights with regard to your Personal Data and the processing thereof:
- the right to a confirmation from ISE that your Personal Data are being processed or not, and in the event that they are processed, the right to access your Personal Data and additional information about the processing of your Personal Data;
- the right to rectification of your Personal Data, for example if your Personal Data are not accurate;
